Problems and Countermeasures of Digital Description of Handwritten Student Status Archives

甘肃农业大学档案馆对1977年至1996年间的手写学籍档案进行数字化过程中,发现著录工作难度陡然提升,因为书写准确率受人为主观因素影响较大,同一个学生的姓名在不同学籍档案中出现了不同字形,同音字混淆、形近字混淆、前后鼻音字混淆等问题产生大量错别字,繁体字、异体字等"一字多形"现象普遍,草书辨识困难,导致档案数字化进度缓慢,数字化成果投入使用后查全率和查准率下降。对这些问题进行归纳和总结,分析成因,然后发掘潜在类似问题,最后有针对性地提出对策。

In the process of digitizing the handwritten student status archives from 1977 to 1996 in Gansu Agricultural University Archives, it is found that the difficulty of description has increased sharply, that the accuracy of writing is greatly affected by human subjective factors, that the same student’s name is shown with different characters in different student status archives, that many wrongly written characters appear due to the confusion of homophonic characters, similar Chinese characters, front and back nasal characters etc., that the phenomenon of one character with multiple forms such as traditional characters and variant characters is common, and that cursive script is difficult to identify. Consequently, the progress of archives digitization is slow, and the recall rate and precision rate are low after the digital achievements are put into use. The paper summarizes these problems, analyzes the causes, explores the similar potential problems, and finally put forward some targeted countermeasures.
